The entire management processes and practices of Helping and Caring Hands- UK (“HCH-UK”) are in compliance with the principles of Good Governance’.

1. Making policies and decisions

HCH-UK, from the inception itself, works on a delegated work environment. Since this is a newly set-up charity, trustees are involved in a day to day operation. Each trustee is required to give sufficient time to the charity to carry out their set of responsibilities effectively. All trustees work purely on a pro bono basis.

The functioning of HCH-UK charity is governed by policies designed by charity’s compliance department. Key policies relate to code of fundraising, claiming gift-aid, holding, moving and receiving funds safely, data and record retention.

2. Regular review and monitoring meetings

Quarterly review meetings are held for each division and department regularly

3. Due diligence

The charity keeps a record of due diligence processes and the results which informed its decision during appraisal of prospective proposals. The charity strives to transfer funds directly to ultimate beneficiaries and keeps an audit trail for the same. It is anticipated that help of some local disbursement partners would be sought on an ad-hoc basis. For such cases, the charity has the provision of keeping an audit trail that prove the partner has spent the funds as intended and for proper purposes.

4. Desk appraisal

Prospective proposals are put through the desk appraisal process at respective programme divisions.

5. Use of technology for good governance and usual charity activities

HCH-UK practises participatory and democratic decision making process, which involves all possible professionals in the organisation. Zoom software is operational, connecting all trustees since March 2020. The same software has been used extensively to conduct health awareness and cultural sessions as part of regular charity activities.

6. Accounting system

With increasing use of relevant technology in each division and department, both quantitative and qualitative MIS are managed technologically. The Accounts and Finance Team of HCH-UK consists of competent and qualified accounts professional. The accounts are maintained on monthly basis through updated computerized systems. The same is also analysed and checked periodically by the internal control system in compliance with standardized Management Policy.

7. Management Information System (MIS)

A quarterly MIS is prepared and analysed by the MIS Officers and it is submitted and discussed in Trustee meetings for assessing the operational activities and to do future planning.

8. Data management

The charity respects and adheres to GDPR stipulations in dealing with data generated during usual course of charity activities.
